Terms of Use
Last updated 2026-10-30
1. About these terms
These Terms of Use ("Terms") are an agreement between you and MyRentLoop ("MyRentLoop", "we", "us"). They apply to your use of the MyRentLoop website, web app, mobile app and related services (the "Service").
By creating an account, signing in or otherwise using the Service you agree to these Terms and to our Privacy Policy. If you use the Service for a business or on behalf of others, you confirm that you have authority to bind them. If you do not agree, do not use the Service.
2. What the Service is
MyRentLoop is software that helps landlords and property managers record buildings, units, tenants, meter readings, invoices, payments and maintenance, and lets tenants view their bills and raise requests.
MyRentLoop is a tool. We are not a landlord, property manager, bank, payment institution, accountant, tax adviser or law firm. We do not collect rent on your behalf, hold your money, or guarantee that any tenant will pay. Calculations, invoices and reports are generated from the information you enter; you are responsible for checking them before relying on them or sending them to tenants.
3. Accounts
You must be at least 18 and able to enter into a binding contract. Give accurate information and keep it up to date.
Sign-in uses your phone number or email and a password. You are responsible for your device, your number and everything done through your account. Tell us promptly at [email protected] if you suspect unauthorised access.
- Each organization has one owner, who controls it, its data and its subscription.
- Tenants can only see the unit, bills and requests linked to them by an invite code from their landlord, and can submit payment notices and maintenance requests.
4. Plans, trial and payment
New organizations receive a 14-day free trial of a paid plan. When the trial ends without a paid subscription the organization moves to the Free plan. Free and paid plans have limits (for example on units and buildings) that are described on our pricing page and may be updated for new customers.
Paid plans are charged in advance for the billing period you choose (monthly or yearly) in the currency shown at checkout, plus any taxes that apply. Unless you cancel, a subscription renews automatically at the then-current price. We will give at least 30 days' notice before a price increase takes effect for your subscription.
You can cancel at any time from your account or by writing to us. Cancellation takes effect at the end of the paid period; you keep access until then. Except where the law requires otherwise, fees already paid are not refunded and partial periods are not pro-rated.
If a payment fails we may retry it and, after a grace period of 7 days, move the organization to the Free plan. If you are over the Free plan limits, existing data is kept and remains viewable, but you cannot add more units or buildings until you upgrade or reduce usage.
5. Your data and your tenants' data
You own the data you put into the Service ("Customer Data"). You give us a licence to host, process, back up and display it solely to provide and secure the Service and as described in the Privacy Policy.
For personal data about your tenants and other people that you enter into MyRentLoop, you are the data controller and MyRentLoop acts as your processor. You are responsible for having a lawful basis to collect it, for telling those people how you use it, for keeping it accurate, and for the content of any leases, notices and messages you send.
The payments you record also feed the Renter Profile of a tenant who turns it on (see the Privacy Policy, section 5a): how many of their bills were paid on time, never amounts or your details. Record payments accurately and correct mistakes when a tenant points them out. A Renter Profile is a summary of landlords' records, not a credit score, an identity check or a guarantee: MyRentLoop does not vouch for any tenant, and you decide whom you rent to.
If you add a caretaker, you choose which buildings they see and whether they see tenant phone numbers, and you are responsible for what they do in your account.
You can export your data at any time from the Profile screen. When your account is deleted we delete or anonymise Customer Data as set out in the Privacy Policy.
6. Acceptable use
You agree not to:
- break any law, or use the Service to harass, discriminate against, defraud or unlawfully evict anyone;
- upload data you have no right to use, or identity documents beyond what you need to manage a tenancy;
- send spam or abusive messages, including through the WhatsApp, SMS or share features;
- probe, scan or test the security of the Service, bypass limits or access controls, or access another organization's data;
- reverse engineer, copy or resell the Service, or use it to build a competing product;
- introduce malware or overload the Service (including by automated scraping).
We may suspend or remove content or accounts that breach these Terms or put the Service or other users at risk.
7. Messages and third-party services
Share buttons open WhatsApp, SMS, e-mail or your phone dialler with a pre-filled message. Sending happens in that third-party app, under its own terms; you decide whether and to whom to send. Do not message people who have asked you not to.
The Service may link to or integrate with payment wallets, banks and other third parties. We do not control them and are not responsible for their services, fees or availability. Payment notices from tenants are claims only; you must confirm that money was actually received before marking an invoice as paid.
8. Our intellectual property
The Service, including its software, design, text and brand, belongs to MyRentLoop or its licensors and is protected by law. We grant you a limited, non-exclusive, non-transferable, revocable right to use the Service in line with these Terms. Feedback you give us may be used without obligation to you.
9. Availability, changes and backups
We work to keep the Service available and secure, but it is provided without any guarantee of uninterrupted or error-free operation. We may change, add or remove features, and will try to give notice of material changes.
We take regular backups for disaster recovery, but you remain responsible for keeping your own copies of important records. Use the export feature regularly.
10. Disclaimer
To the maximum extent permitted by law, the Service is provided "as is" and "as available". We disclaim all warranties not expressly stated here, including fitness for a particular purpose, accuracy of calculations, and non-infringement. Nothing in the Service is legal, tax or accounting advice.
11. Limitation of liability
To the maximum extent permitted by law, we are not liable for indirect, incidental, special or consequential loss, or for loss of profits, rent, revenue, goodwill or data, arising from your use of the Service.
Our total liability for any claim relating to the Service is limited to the amount you paid us for the Service in the 12 months before the event giving rise to the claim (or NPR 5,000 if you have paid nothing). Nothing in these Terms limits liability that cannot be limited by law, such as for fraud or wilful misconduct.
12. Your responsibility
You agree to indemnify and hold MyRentLoop harmless against claims, losses and reasonable costs arising from Customer Data you submit, your dealings with your tenants, your breach of these Terms, or your breach of the law, except to the extent caused by our own breach or negligence.
13. Suspension and termination
You may stop using the Service and delete your account at any time (Profile → Delete your data). We may suspend or terminate access if you breach these Terms, do not pay, or if required by law, and will normally tell you why. A suspended organization is read-only: you can view and export your data but not change it.
On termination your right to use the Service ends. Sections that by nature should survive (ownership, disclaimers, liability, governing law) continue to apply.
14. Changes to these Terms
We may update these Terms. If a change is material we will notify you in the app or by e-mail before it takes effect. Continuing to use the Service after the effective date means you accept the updated Terms.
15. Governing law and disputes
These Terms are governed by the laws of Nepal. We will first try to resolve any dispute informally; write to [email protected]. If that fails, the dispute will be decided by the courts of Biratnagar, Nepal, unless mandatory consumer law in your country gives you the right to use a different forum.
